Overview
Provide senior level administrative support to the Director of the Digital Integration Center of Excellence (DICE) and Applied Research staff to ensure effective and efficient operations.. Record and transcribe minutes from team and partnership meetings as needed.. Plan and support webinars and hybrid/in-person events, including logistics (catering, room rental, AV, registration) and student recruitment session logistics.. Perform data entry and manage paper/electronic files and incoming/outgoing mail.. Respond to routine inquiries from internal and external stakeholders.. Maintain daily schedules and calendars for the Director.. Provide reception support for internal and external stakeholders (in-person, telephone, email).. Maintain office supplies inventory and place orders as needed.. Order and track IT equipment for DICE personnel.. Support web requisition information gathering.. Assist with administrative tasks such as travel arrangements, expense claims, and meeting organization.. Support confidentiality and security of the office.. Assist with preparation and submission of hiring and staffing documentation for research positions in compliance with HR/institutional procedures.. Support onboarding of new employees (documentation coordination, system access, orientation arrangements).. Assist with monthly and ad hoc reporting on DICE activities (including tracking grant applications, competition results, partner meetings, event participation, and formatting report documents).. Compose, produce, and process correspondence on behalf of DICE with proofreading/editing accuracy.. Create slide decks and maintain/update DICE website content in coordination with communications/marketing teams, following branding guidelines.. Arrange printing/production of hard copies when necessary.
