About the role

Provide administrative, secretarial, clerical, and basic accounting support within the Inclusive Education department in a confidential environment.

Manage student information using the provincial student information system to meet school reporting requirements.

Compile, input, maintain, analyze, and report data using the student information system, Excel, and/or other databases; perform electronic filing.

Collect, input, report, and distribute student files and “red binder” information.

Organize assessment information for the District Psychologist and school staff.

Prepare for professional learning events including online registration, event setup, and coordination with presenters.

Prepare and update third-party contracts under direction of the Assistant Superintendent and District Principal.

Maintain practicum student spreadsheets and share information with schools.

Collate information for Ministry reporting throughout the year (e.g., 1701, LINKS, Interior Health, ASSAI).

Manage front office operations: sign in and direct visitors; respond to inquiries by telephone, email, and in person.

Maintain and order office/supplies and learning resources; manage equipment.

Manage mail, faxes, and courier items.

Reconcile credit card statements, bank statements, invoices; ensure expenses are accurately coded.

Perform accounting duties including accounts receivable/payable, journal entries, cash handling, and account reconciliations.

Record and file minutes and proceedings for staff and committee meetings.

Ensure maintenance of telephone/voicemail system.

Compose and maintain records for letters, memos, forms, financial reports, and office procedures.

Monitor and collect information for departmental budgets and school accounts.

Update and maintain department website, calendar, bulletin board, and online forms.

Provide auxiliary support in the absence of the Board Office Reception

  • <p><b>This position is due to a leave. </b></p><p><strong>The awarded applicant will be required to join the CUPE Local 748 Union and have a Criminal Record Check (submitted by the employer).</strong> <b><br></br></b></p><p><b><u>Position Description:</u></b></p><p>Performs administrative, secretarial, basic accounting, cashiering, reception, and clerical services in a confidential environment within the Inclusive Education department. Requirements

Grade 12.

Completion of an Office Administration program certificate or equivalent post-secondary education.
