Coordinate communications related to CTL initiatives, projects, workshops, and institutional priorities..

Develop and distribute promotional and informational materials in collaboration with CTL staff and communicate professional development opportunities across the College..

Serve as primary point of contact for the Centre, providing reception services and responding to inquiries while triaging faculty support requests..

Assist with departmental financial administration including budget preparation, purchasing, reconciliations, purchasing card administration, financial records, and procurement documentation..

Employment Status Full Time Employment Type Regular Job Summary Reporting to the Dean of Teaching and Learning, the Administrative Assistant is responsible for coordinating the administrative operations of the Centre for Teaching and Learning and providing confidential executive support to the Dean. The position serves as the primary administrative hub for the Centre, supporting institutional initiatives, faculty professional development, committee work, financial and human resource processes, project coordination, and day-to-day operations while ensuring exceptional service to faculty, staff, students, and external partners. Specific Duties

Provide confidential administrative support to the Dean of Teaching and Learning, including calendar management, scheduling, correspondence, meeting coordination, travel arrangements, and the coordination of competing priorities.

Recognized two (2) year diploma in Business Administration or related field of study..

3 years or more experience at a similar administrative level, or an equivalent combination of education and experience with increasing responsibility and complexity (preference for experience supporting administrators in an educational environment)..

Demonstrated initiative and judgement at a senior administrative level..

Good knowledge of administrative duties and relevant office procedures at a department level..

Ability to prioritize workload, meet critical deadlines, and handle frequent interruptions..

Ability to maintain confidentiality and comply with meeting privacy legislation requirements..

Demonstrated commitment to service excellence..

Excellent interpersonal skills with sensitivity to faculty, staff, students, and external partners..

Problem-solving skills and ability to work independently..

Ability to work effectively under pressure and demonstrate conflict resolution skills..

Proven ability to gather, analyze, integrate, and summarize complex information and prepare accurate reports and communications within tight timelines..
