Overview
Produce the academic timetable for Saskatchewan Polytechnic each academic year, including data entry, manipulation, validation, and production of course and classroom schedules.. Work with the Team Lead of Academic Scheduling, Facilities, Program Chairs, and program department staff to create schedules and resolve scheduling conflicts.. Assign rooms appropriately based on a solid understanding of physical space across campus and campus updates.. Assist with day-to-day room bookings for academic activities, schedule changes, room assignments, and data entry in Banner and other scheduling systems.. Analyze and validate course loading data received from Program Heads prior to scheduling to ensure program capacity and sufficient seats for registration.. Ensure major deadlines are met each term (SIS data download, SIS upload of scheduled data, and course pull requirements).. Coordinate with Program Heads, Enrolment Services Specialists, and Facilities Management regarding opening/closing course sections and program enrolments; adjust timetables as required.. Schedule all Saskatchewan Polytechnic courses including base programs, apprenticeship, and continuing education (CE) courses.. Ensure conflict-free schedules for all program activity.. Ensure timetables effectively utilize academic space.. Validate scheduled data accuracy in SIS by initiating daily transfers from scheduling software to SIS.. Analyze and validate timetable change requests from Program Heads and determine whether they are justified and in the best interest of students.. Inform students, instructors, program heads, and facilities management of timetable changes via the web interface to minimize disruption at critical periods.. Identify and report data transfer issues to the Team Lead for resolution, testing, and implementation of solutions.. Provide Program Heads with group, instructor, and room timetables for review prior to registration and release to students.. Resolve room size mismatch issues at the start of term.. Provide guidance to program heads and program staff in using the timetable system.. Validate accuracy of program and course data in SIS by verifying and identifying anomalies and coordinating solutions with the appropriate Enrolment Services Specialists.. Respond to inquiries from faculty, staff, and students regarding policies and procedures.. Assist internal stakeholders with scheduling functions.. Participate in modeling and simulation projects to analyze timetable quality and space needs; serve as SME for project development and testing of new scheduling software tools or the SIS.. Participate in debriefing after each scheduling cycle and recommend improvements and procedural changes to the Team Lead.. Perform other duties as assigned.
