Your opportunity:Under the direction of the Finance Manager and working closely with HRIS Assistant, the TA Support Assistant is responsible for providing administrative support for departmental academic recruitment and assignments (teaching assistants, course instructors, sessional lecturers, post doctoral fellows), and for student awards.
Note
this is a term position until May 2028. Your responsibilities will include:
Coordinating the recruitment of teaching assistants, course instructors, sessional lecturers and/or stipend instructors Verifying that provisions of applicable collective agreements and/or policies are applied appropriately Collecting supporting documentation required for payroll and/or HRIS processing Receiving and passing on evaluation materials for review Responding to enquiries within the defined scope of the role and redirecting as appropriate Entering HR and payroll information into HRIS system Maintaining information in databases Collating and organizing data for various reports
Essential Qualifications
- Advanced College Diploma (3 years) in business administration or acceptable combination of recent and relevant experience Minimum two years recent and related administrative experience providing administrative support for an academic program, with some experience coordinating academic recruitment and training.
- Experience supporting the recruitment process and preparing draft employment letters using templates for Teaching Assistants and Course Instructors (CUPE 3902 Unit 1).
- Demonstrated advanced experience creating and maintaining large databases, and compiling and manipulating data from various sources.
- Experience interpreting and applying policies, procedures, and collective agreements.
- Experience providing detailed explanations to students regarding University policies and procedures.
- Experience assisting in processing Academic Integrity cases.
- Experience administering student awards, including NSERC/UTEA awards.
- Advanced skills in MS Excel and MS Office Suite (Word and Outlook).
- Experience navigating and entering data in HRIS and ROSI, or similar HR and student information systems.
- Excellent time management, prioritization, and organizational skills, with the ability to be an effective team player.
- Excellent interpersonal and communication skills (verbal and written).
- Strong initiative, proactive and highly resourceful.
- Strong attention to detail, especially when working with high volumes and competing priorities.
- Demonstrated strong client service orientation and ability to communicate with tact, diplomacy, and discretion.
- Ability to exercise initiative and judgment, organize work and establish priorities in a flexible way, and successfully meet deadlines with competing priorities and interruptions.
