Overview
Provide administrative, secretarial, clerical, and basic accounting support in a confidential school environment. Manage front office operations including visitor sign-in and responding to inquiries by phone, email, and in person. Schedule appointments and meetings and assist with organizing events and field trips. Maintain and order office supplies and manage office equipment. Submit and monitor maintenance requisitions. Manage mail, faxes, and courier items. Reconcile credit card statements, bank statements, and invoices; ensure expenses are accurately coded. Perform accounting tasks including accounts receivable/payable, journal entries, cash handling, and account reconciliations. Record and file minutes and proceedings for staff and committee meetings. Ensure maintenance of telephone/voicemail system. Compose and maintain documents and records (letters, memos, forms, financial reports, office procedures). Support school start-up and year-end procedures including textbook distribution, awards/transition programs, ministry forms, and transcript data entry. Monitor school/department budgets and handle currency. Maintain staff attendance records for on-call staff; monitor time sheets and reconcile for staff reports. Maintain student records using the provincial student information system; enter data, generate attendance records, and produce reports. Process new student registrations and transfers, confirming required paperwork is complete. Update and maintain department/school website content, calendar, bulletin board, and web forms. Coordinate facilities rentals including rental applications, invoicing, and accounts receivable. Arrange travel, accommodations, and meeting facilities
